Packaging line project brief

Collect the product, pack, production and site information needed to compare machinery on a consistent basis.

Define the requirement

Describe the current process, constraint and intended result.

A clear brief helps separate required functions from optional features and gives sample trials a defined purpose.

Current process

Record each step from product supply and empty-pack loading through filling, closure, labelling, coding and final packing. Include operators, handling and inspection.

Production constraint

Identify where work waits, quality varies, repetitive effort is concentrated or demand cannot be met. Support the description with observed production information where available.

Required outcome

State the finished pack, sustained operating objective, quality checks, retained manual tasks and any future formats or expansion that the layout should allow.

Product and pack evidence

Build the brief around representative production materials.

Use the actual product and components wherever possible, and label any provisional item clearly.

Product

Product type, viscosity or flow behaviour, temperature, foaming, particles, settling, compatibility and cleaning expectations.

Container

Drawings and samples covering dimensions, opening, base, material, flexibility, stability and any orientation feature.

Closure and label

Caps, lids, pumps, triggers, droppers, label rolls, films and codes in the intended production condition.

Finished pack

Examples showing fill result, closure condition, label position, code, bundle, case or dispatch presentation.

Operating pattern

Describe sustained production rather than an isolated cycle.

State current output, required output, batch size, shift pattern and expected product mix. Include how often operators replenish product, caps, labels, film, tape or cases and how frequently formats change.

Identify normal planned interruptions such as cleaning, inspection, label reconciliation and product change. A practical line output must account for these activities and for the slowest stage in the connected process.

Record format families

Create a matrix of products, fill quantities, containers, closures, labels and final packs. Mark the normal, smallest, largest and most difficult examples. Do not assume one setup can cover formats with materially different handling or product-contact requirements.

Operating information checklist

  • Batch sizes, production days and operator availability
  • Product and format change frequency
  • Material replenishment method
  • Routine quality checks and sample removal
  • Expected rejects and their handling
  • Planned future formats or capacity changes

Site and integration

Show how the machinery will fit the production area.

Provide a dimensioned layout showing line direction, access routes, doors, columns, drains, walls and retained equipment. Include required working height and the points where containers, product, closures, labels and finished goods enter or leave the area.

List available electrical, pneumatic and other utilities. Where a product or process creates a specialist ventilation, drainage, wash-down, hazardous-area or environmental requirement, provide the relevant site and product information for a qualified assessment rather than assuming standard equipment is suitable.

Define machine interfaces

For connected equipment, show upstream and downstream machine details, conveyor heights, product flow and required signals. State whether a new machine must operate independently when another stage is unavailable.

Trials and acceptance

Agree how the proposed solution will be demonstrated.

Every performance statement should be tied to the representative product, pack and agreed test conditions.

Sample trial

Define which product and pack formats will be tested, their condition, the required setup and the observations to record. Include the most difficult format where practical.

Quality checks

State how fill result, closure condition, label position, code legibility, pack integrity and rejects will be assessed. Identify who approves each result.

Sustained operation

Agree the operating period, normal replenishment, operator involvement and acceptable interruptions. Avoid treating a short unrepresentative run as proof of complete-line performance.

Handover and support information

What should be included in a packaging machinery project brief?

Include the product, pack components, format range, current process, target outcome, operating pattern, site constraints, connected equipment, samples and acceptance method.

Do I need final packaging samples before making an enquiry?

Representative samples are strongly preferable. Where final items are unavailable, identify what is provisional and provide drawings or the closest verified components without presenting assumptions as final.

How should target output be described?

State the current sustained result, desired sustained result, batch size, operating hours, replenishment and normal interruptions. Avoid relying only on an isolated maximum speed.

Why should the most difficult format be identified?

The smallest, tallest, least stable, most viscous or most complex format may determine guides, nozzles, closure handling, sensors and change parts more than the normal pack.

What site information is useful?

Provide an annotated layout with dimensions, line direction, access, working height, utilities, drainage or ventilation where relevant, material routes and existing machine interfaces.

How should acceptance criteria be written?
